PRIVACY POLICY – EQUAL GEMS ONLINE PLATFORM

This page describes how personal data are processed on the Equal GEMS online platform, used within the European project Equal GEMS – Girls’ Empowerment through Sport.

1. Who is responsible for data processing

2. What this platform is for

This online platform is used exclusively within the European project Equal GEMS – Girls’ Empowerment through Sport.

It is intended for:

  • students (including minors);
  • teachers involved in the project.

The platform allows participants to take part in project activities and to provide feedback on physical education and sport experiences.

3. What data are collected

Through this platform, the following personal data may be collected:

  • identification and contact data (e.g. name, e-mail address);
  • school-related information (e.g. school, class, role);
  • responses to questionnaires and monitoring tools;
  • opinions and perceptions related to physical education, sport and learning experiences.

4. Why data are collected

Personal data are processed exclusively to:

  • enable participation in the Equal GEMS project;
  • collect feedback and understand students’ experiences of physical education and sport;
  • monitor and evaluate the impact of project activities;
  • fulfil reporting and accountability obligations related to the Erasmus+ Programme;
  • disseminate project results only in aggregated and non-identifiable form.

5. Pseudonymisation and data protection

Personal data collected through the platform are processed using pseudonymisation techniques.

This means that:

  • identifying data (such as name and e-mail address) are kept separate from questionnaire responses;
  • each participant is associated with an alphanumeric code;
  • individual responses cannot be directly linked to a specific student during analysis.

Appropriate technical and organisational measures are implemented to ensure data security and confidentiality.

6. Who can access the data

Access to personal data is limited to:

  • authorised staff of the Equal GEMS project;
  • project partners acting as Data Processors pursuant to Art. 28 GDPR.

Personal data are not made public and are never disseminated in identifiable form.

7. How long data are kept

Personal data are retained for the duration of the project and thereafter only for the period necessary to comply with European and national obligations related to audits, controls and reporting.

Whenever possible, data are anonymised or aggregated after the end of the project.

8. Your rights

Data subjects have the right to access, rectify, erase or restrict the processing of their personal data, as well as to object to processing, in accordance with Articles 15 to 22 of the GDPR.

For minor students, these rights may be exercised by parents or legal guardians.
